Plan your calendar
Hold a date in pencil, plan it with your team, and turn it into a real event when it's ready.
Most gatherings start as a maybe. Plans give your team a place to hold the date, keep notes and to-dos, and decide together before anything shows up for the public.
The three stages
Every gathering on its way moves through the same stages, and each looks different on the calendar so you can read it at a glance.
- Pencil. A date you're holding. Nothing is decided. It shows with a dashed border.
- Planning. Decided, and being put together. It shows with a soft tint.
- Production. Ready to run. It shows solid.
A gathering that falls through can be marked Cancelled and stays in your history.
Pencil and Planning dates stay on your team's view only. They never show on the public calendar. A visitor sees an event once you publish it.
Start a Plan
- Open your Space, then Manage, then Calendar.
- Start a Plan behind one date or several.
- Add notes, links, images and to-dos. Share it with other people on your team.
- When you're ready, choose Make it a Production. That opens the new event form with everything already filled in.
Repeating dates
A pencil can repeat, for example every other Wednesday. If you skip one date, the skip is remembered. It doesn't come back when the series is rebuilt.
The calendar views
On the Space Calendar tab you can switch between Guest (what visitors see), Admin (every draft and team-only date), List, Timeline and Projects (move a gathering through its stages). The tab remembers the last view you used.
Calendar settings
Press the gear at the top of the Calendar. The settings sheet holds how the calendar reads and where it goes.
- Time. The zone your calendar runs in. New dates are written in it wherever you happen to be.
- Sky markers. Moons, solstices and the Sun's sign on every view. Off until you turn it on.
- Day notes. A few quiet words on a day, like Quiet hours on Mondays. Only your team sees them.
- Sync and feeds. Copy public feed gives you the link anyone can add to their calendar. Copy team feed gives you your team's private link. Two-way sync with Google, Apple, Outlook and Notion is coming.
Your private team link
Copy team feed in Calendar settings is a private calendar link for your team. It carries everything your team can see, and it's never shown on the public Space page. Keep it to your team. For the public link, see Subscribe to a Space calendar.
In that calendar, a date you're holding shows as a tentative Hold and says when the hold ends. A to-do with a start time shows at that hour, for as long as its estimate.
Copying the link doesn't change it. If it ever leaks, rotate it and everyone who subscribed needs the new one.
On your phone
The calendar opens on Agenda, a day-by-day list that reads well on a narrow screen. The sidebar (the month, what to show, your Plans) opens from the filter button at the top, and a date's details rise from the bottom of the screen.
